Position Title : Operations Assistant

Working Hours : 8am-5pm CST

Salary Range: $1,000- $1,500 (the final salary will be determined by the candidate's level of experience and at the discretion of the client)

The client is a reputable family-based real estate company with a rich history of providing personalized property management and investment services in Florida. They are committed to excellence and integrity, delivering exceptional value to their clients while maintaining strong, trust-based relationships.

Position Overview:
The Operations Associate will support the day-to-day operations of the real estate business, ensuring smooth transactions and maintaining high service standards. This role requires a proactive and dedicated individual to join a close-knit team.

Responsibilities:

  • Administrative Support:
    • Provide comprehensive administrative assistance, manage correspondence, schedule appointments, and maintain organized records.
  • Property Management:
    • Assist in managing residential and commercial properties, coordinate tenant inquiries, oversee maintenance requests, and ensure regulatory compliance.
  • Transaction Coordination:
    • Coordinate documentation, liaise with clients, real estate agents, and attorneys, and ensure timely completion of paperwork for transactions.
  • Financial Management:
    • Assist with financial activities such as invoice processing, rent collection, expense tracking, and budget preparation, ensuring accuracy and compliance with policies.
  • Vendor Management:
    • Manage relationships with vendors and contractors, obtain quotes, oversee work orders, and ensure projects are completed on time, within budget, and meet quality standards.
  • Data Management:
    • Maintain databases and systems to track property information, lease agreements, financial records, and other relevant data to support informed decision-making.
  • Compliance:
    • Stay up-to-date with regulatory requirements and industry standards, ensuring compliance with local, state, and federal regulations.
  • Customer Service:
    • Deliver excellent customer service to clients, tenants, and vendors by addressing inquiries and concerns promptly and professionally.

Required Qualifications:

  • 2+ years of experience in real estate operations, property management, or related roles.
  • 1+ year of proficiency in Microsoft Office Suite; familiarity with property management software (e.g., Yardi, AppFolio) is required.
  • Strong organizational skills with the ability to prioritize tasks and manage multiple deadlines effectively.
  • Excellent communication skills, both verbal and written, with the ability to interact professionally with clients, colleagues, and external stakeholders.
  • Detail-oriented mindset with a commitment to accuracy and quality.
  • Ability to work independently and collaboratively in a team-oriented environment.

Preferred Qualifications:

  • Knowledge of the Wisconsin real estate market is a plus.
  • Proficiency in property management software, Yardi, is a plus.
