Event Planner and Travel Specialist

TechTrans provides language services and travel logistics - language teaching, interpreting, translating, travel coordination and much more. We have offices, staff, and clients across the world.

We are seeking a Full-Time Event Planner and Travel Specialist for our Clear Lake/Houston, Texas office (77058) who is highly organized, able to work at a fast pace, has excellent customer service and people skills, and is able to execute international events.

Duties and Responsibilities:
  • Provide excellent customer service on demand. Immediate and continual communication with the customer is expected throughout all phases of event support.
  • Specialists are able to source and coordinate travel and event planning services anywhere in the world; including booking international and domestic air travel, reserving lodging, making ground transportation arrangements, organizing event venues, outfitting them with audio visual equipment, providing language interpretation and translation services, catering, virtual and on-site support, per diem distribution, subject matter printing and assembly, and procuring any special or VIP services as required.
  • Ability to find vendors in different countries, develop responsible and dependable relationships, establish favorable pricing and terms, vetting, enrolling and paying them.
  • Specialists are trained together to work independently, with guidance when needed.
  • Specialists are equipped with contract and pricing knowledge to provide the customer with timely estimates for services requests. They then engage the appropriate vendors, establish the budget and timeline for service delivery, obtain the customer's approval, and coordinate event implementation. Managing change is expected. For the close out of completed events Logistics Specialists pay the vendors and provide accounting with a detailed trip summary report ready for customer billing.
  • Specialists are always finding the most cost effective, timely, and quality solutions, and provide the customer team with layouts and itineraries detailing timelines and contact information for all services to ensure requirements are satisfied and focused on mission success.
  • Specialists will learn the necessary contract pricing and terms, as well as government and country-specific travel, safety, and related logistics rules and regulations.
  • Specialists perform special projects for the company at-large, often involving pricing exercises, building up our vendor base, as well as support for other bids and proposals.

Qualifications and Requirements:
  • Strong customer service orientation which may also require communication and actions outside of normal business hours.
  • International competency and internet research savviness.
  • Familiarity with Federal Travel Regulations (FTR) is required.
  • Experience with travel arrangements
  • Excellent organization skills, ability to work independently, and backup team members.
  • Ability to travel domestically and internationally.
  • Competency in Microsoft Office business suite software: word, excel, outlook, and ability to learn new business applications, and use of database management systems.
  • Bachelor's degree or equivalent experience
